Who is responsible for your information
This notice concerns personal data collected when you visit velantedesign.com, contact Velante Design or enquire about our services. Velante Design is the contact point for questions about how enquiry information is handled.
For privacy questions or requests, email velante.design@outlook.com. You may also contact us by phone at +40 732 988 022.
Information we collect
Depending on how you interact with us, we may process:
- Contact details: your name, business name, email, telephone number and preferred contact method.
- Project enquiries: your messages, budget, goals, timelines, design preferences and any materials you voluntarily share.
- Project administration: proposals, invoices, agreements, feedback, approvals and business correspondence if you become a client.
- Technical information: limited IP address, request, device and security information that our hosting or security providers process to operate and protect the site.
- Payment information: if paid online services become available, payment status, transaction identifiers and billing data received from the payment provider. Full card numbers are handled by the payment provider, not collected through this website.
Please avoid sending passwords, sensitive personal data or confidential client data through ordinary email or WhatsApp. If a project requires sensitive materials, we can agree a more appropriate sharing method.
Purposes and legal grounds
- Answering enquiries and preparing quotations: taking steps at your request before entering a contract or our legitimate interest in responding to business enquiries.
- Providing agreed services: performing a contract, maintaining project correspondence, preparing deliverables and managing approvals.
- Invoicing, tax and legal records: complying with applicable legal obligations.
- Website reliability and protection: our legitimate interest in preventing abuse, protecting systems and troubleshooting errors.
- Optional marketing: only where we have an appropriate lawful basis, including consent where required. We do not treat a project enquiry as automatic consent to unrelated marketing.
Where processing is based on legitimate interests, we consider those interests against your rights and reasonable expectations. You can contact us to object where the law permits.
Services that may process data
Our site is currently designed as a static website. Contact buttons may open your email application, phone dialler or WhatsApp rather than submitting information to a database on the site itself.
Depending on your chosen method and the services in use, data may be handled by providers such as Cloudflare (website delivery, DNS and security), Microsoft Outlook (email), WhatsApp/Meta (when you choose to start a WhatsApp conversation), and a payment provider such as Stripe if online payments are enabled later. These services may have their own privacy notices.
We share information only as reasonably necessary to communicate, provide the service, operate the website, process lawful payments or meet legal obligations. We do not sell your personal information.
International processing and safeguards
Some service providers may store or access information outside Romania or the European Economic Area. Where GDPR requires safeguards for international transfers, we rely on the applicable adequacy decisions, contractual safeguards or other lawful mechanisms available through the provider. Contact us if you would like information about the safeguards relevant to your data.
Cookies, analytics and external links
The current Velante website does not intentionally set advertising cookies or run an independent advertising tracker. Cloudflare and other infrastructure providers may use essential security or technical cookies when required to deliver and protect the website. If optional analytics, advertising pixels, embedded media or non-essential cookies are added later, this notice and any necessary consent controls must be updated before use.
The WhatsApp button opens an external service. Its privacy practices are governed by its own notice. Similarly, links to other websites or payment pages take you to services operated by those providers.
How long we retain information
We aim to keep data only for as long as it is reasonably needed for the purpose for which it was collected. Enquiries that do not result in a project are normally retained for up to 12 months after the last meaningful exchange, unless you ask for earlier deletion or a legitimate reason requires longer retention. Active client and project records are held during the engagement and for a proportionate period afterward where needed to establish, exercise or defend legal claims.
Invoices and related accounting records are retained for the period required by applicable tax and accounting law. Technical security logs are retained according to the hosting provider's operational schedules.
Your data protection rights
Where GDPR applies, you may have the right to access your personal data, correct inaccurate data, request erasure, restrict processing, object to certain processing, and receive eligible information in portable form. You may withdraw consent at any time where consent is the legal basis, without affecting earlier lawful processing.
To make a request, write to velante.design@outlook.com. We may ask for reasonable verification before acting. You also have the right to lodge a complaint with the relevant supervisory authority, including Romania's ANSPDCP where appropriate.
Security and changes
We take reasonable organisational and technical steps to protect the information we handle, including using HTTPS for the website. No internet service, email system or third-party platform is risk-free. If a material security or privacy incident occurs, we will assess and fulfil applicable notification obligations.
We may revise this notice when our business practices, providers or legal obligations change. The date at the top of this page identifies the current published version.
